Managing Owners
Certain filings, for example, fictitious name or name reservation, require
that one or more owners be designated. Owners can be individuals or organizations
and in some cases a current owner must always be on record with the Secretary
of State office. If you are reserving a name, the fields/labels that display
reflect that filing type, i.e., Reserved by Individual or Reserved by
Organization.
Notes:
- Fields and labels that display are based on your
jurisdiction's implementation and may not reflect your filing type.
- If you need to re-enter information, select the
button labeled Previous to
return to the screen you were on prior to the current screen.

How to add an owner
(individual):
- Navigate to the Owner(s)
screen and select the Owner is Individual
radio button. In this example, the filing is a fictitious name filing.
- Enter Individual
owner information:
Ownership
Percentage
First,
Middle and Last Names; Suffix may be added
Address (a PO
Box address is not allowed on the first line of the address)
- Select the Save
Owner button. The owner is added to the Fictitious
Name Owner(s) table. You can add another owner, update or delete
the existing owner.
- If updates are not required, select the Next:
Review Filing button.
- Review the filing for accuracy; edit information
as needed.
- Select the Acknowledge
check box.
- Refer to Reviewing
Filings for detailed information on reviewing and editing
filings.
Continue selecting the next buttons until
you have paid for your filing.
How to add an owner (organization):
Select
the Owner is Organization
radio button. Search fields display along with an option to not add
a new owner; you will be returned to the Owner(s)
screen.
- Enter the % Ownership
in the adjacent field.
- Perform a search for the business entity:
Choose
a Search option from the drop-down
list.
Enter
a Business Name in the text
box.
Choose
an option from the Includes
names drop-down list; enter
corporate designations and punctuation for exact match searches.
Select
the Only Active Corporations
check box to include only active corporations in the search.
- Select the Search
Owner button to begin the search. Search results display.
- Choose the Select
button next to the owner name. The owner is added to the Fictitious
Name Owner(s) table. You can add another owner, update or delete
the existing owner.
- If updates are not required, select the Next:
Review Filing button.
- Review the filing for accuracy; edit information
as needed.
- Select the Acknowledge
check box.
- Refer to Reviewing
Filings for detailed information on reviewing and editing
filings.
Continue selecting the next buttons until
you have paid for your filing.
How to add another owner:
After entering
owner details, select the Add Owner
button to display the Add Owner
screen. Any previously added owners appear in the Fictitious
Name Owner(s) table.
- Follow steps above for adding an individual or
organization owner.

How to update an owner
(individual, current filing):
Select the Update button adjacent to the applicable
owner. If the owner is an individual,
the following Update Owner
screen displays, showing details about the owner.
- Modify owner information and then select the Save Owner button to display the
Owner(s) screen.
- Select the Next:
Review Filing button.
- Review the filing for accuracy; edit information
as needed.
- Select the Acknowledge
check box.
- Refer to Reviewing

How to update an owner
(organization, current filing):
- Select the Update
button adjacent to the applicable owner. If the owner is an
Organization, the following
Update Owner screen displays,
showing details about the owner.
- Enter a value in
% Ownership (the only field that can be changed).
- Select the Save
Owner button to display the Owner(s)
screen.
- Select the Next:
Review Filing button.
- Review the filing for accuracy; edit information
as needed.
- Select the Acknowledge
check box.
- Refer to Reviewing
Filings for detailed information on reviewing and editing
filings.
Continue selecting the next buttons until
you have paid for your filing.
How to delete an owner
(current filing):
Select the Delete button in the Fictitious
Name Owner(s) table. A confirmation message displays.
- Select OK
to close the message and delete the selected owner.
Continue selecting the next buttons until
you have paid for your filing.
How to change an owner
(previous filing):
Select
the Change button to make
this owner previous and add a new owner. A confirmation message displays.
- Select OK
to confirm. The Add Owner
screen displays. Change and
Make Previous buttons are
disabled in the Owner(s) table.
- Enter owner information,
- Select the Save
Owner button. The Owner(s)
table is updated.
- Select the Next:
Review Filing button.
- Review the filing for accuracy; edit information
as needed.
- Select the Acknowledge
check box.
- Refer to Reviewing
Filings for detailed information on reviewing and editing
filings.
Continue selecting the next buttons until
you have paid for your filing.
How to make an existing
owner previous/current:
Select the Make Previous button next to the
applicable owner. A confirmation message displays.
Select OK to close the message and update
the Owner(s) table. The owner
has a status of Inactive (Pending).
Note that for some filings, at least one owner is required. Making
all or the only owner previous produces an error message.
- To make the owner current, select the Make
Current button. A confirmation message displays.
- Select OK
to close the message and update the Owner(s)
table. The owner has a status of Active.
- Select the Next:
Review Filing button.
- Review the filing for accuracy; edit information
as needed.
- Select the Acknowledge
check box.
- Refer to Reviewing
Filings for detailed information on reviewing and editing
filings.
Continue selecting the next buttons until
you have paid for your filing.
